1. About This Policy
Chandler Insurance Agency ("we," "us") is an independent insurance agency with offices in Grand Rapids and Virginia, Minnesota. This policy explains what we collect through our website (chandlerinsurancemn.com), our online quote tool, and our contact and appointment forms; how we use it; who we share it with; and the choices you have. It describes our information practices for our website.
2. Information You Give Us
When you request a quote, send a message, or book an appointment, you may give us:
- Your name, phone, email, address, and date of birth, and how and when you'd like us to contact you
- Household members and drivers or operators: names, relationship to you, dates of birth, and driving and claims history
- Vehicles (including VINs), homes, cabins, rental properties, boats and recreational vehicles, and business details
- Current insurance information, and a declarations page if you choose to upload one
- Anything else you type in, such as a message or appointment request
Driver's license numbers and business EINs are optional. If you type one into our quote tool, the full number stays on the page in your browser. Only whether you gave one, the license state, and the last 2 digits are sent to us, and the number is not kept when you use "Save and finish later." If an insurance company needs the full number, we will get it from you directly.
3. How Our Online Quote Tool Works
- Unfinished requests. Contact information is the second step of the quote tool. Once you enter it and continue, your answers are sent to our office as you go, even if you don't finish, so an agent can follow up. If you stop for 15 minutes or more without sending, we get one email with what you entered. If you don't want that, close the page before entering your contact information, or ask us to delete what you sent.
- Where your request goes. Your request is stored with our website hosting provider and emailed to our agency mailbox through our email provider. A backup copy is kept in our website hosting provider's form system.
- Save and finish later. If you tap "Save and finish later," your answers so far (not license numbers or EINs) are saved in your own browser on that device so you can pick up where you left off. They are removed from the browser when you send your request, or you can clear them by clearing your browser's data for our site. If you use a shared computer, keep that in mind.
- Uploads. If you upload a declarations page (PDF or photo, up to 10 MB), it is kept in private storage with our website hosting provider, not on any public page. Our office receives it by email (attached when the file is 3 MB or smaller) and through a private link with a long random code. That link stops working 30 days after upload, and the file is deleted automatically from our website's storage 90 days after upload (see section 9).
- Lookups. To save you typing, the quote tool uses a few free public maps and lookup tools. Each receives only the details listed here:
- If you enter a VIN, your browser sends the VIN to a public government vehicle-information service. Like any website, that service also receives your IP address.
- Address suggestions first search our own copy of public Minnesota address data. If more help is needed, our server sends only the address text you typed (not your name, contact information, or IP address) to public address lookup services.
- To fill in city and state, our server sends only the ZIP code to a public ZIP code lookup service.
- For some Minnesota homes, our server sends only the street number, street name, and ZIP code to public Minnesota property records to look up the year built and square footage where counties publish them.
Our website does not store these lookups.
4. Information Collected Automatically
When you visit our website, your browser connects to our website hosting provider, which processes technical information such as your IP address, browser type, and the page requested so it can deliver and protect the site. Some pages also load fonts, icons, or maps from outside font, icon, and maps services, which receive your IP address (see our Cookies Policy).
We do not use advertising pixels, social media or ad-network tracking tags, or any website analytics tool. If that ever changes, we will update this policy first.
5. How We Use Your Information
- To prepare and compare quotes from the insurance companies we represent
- To order reports used in insurance (such as driving, claims, or insurance-score reports) when needed for a quote
- To contact you about your request, including following up on a request you didn't finish
- To service your policies, schedule appointments, and answer your questions
- To meet legal and regulatory requirements
6. Who We Share It With
We share information only as needed to serve you and as Minnesota and federal law allow:
- Insurance companies we ask to quote or write your coverage, and consumer reporting agencies for reports used in insurance.
- Service providers that handle information for us, such as our website hosting provider (which also handles our forms and file uploads), our email provider, and our agency management and quoting software.
- Public maps and lookup tools described in section 3, which receive only the limited details listed there.
- Regulators, law enforcement, and others when the law requires or permits it (for example, under Minn. Stat. § 72A.502).
- A buyer or successor if our agency is sold or merged, under the same protections.
We do not sell your information. We do not share the information you give us with advertising platforms, social media companies, or data brokers. We do not share your nonpublic personal information with companies that are not affiliated with us for their own marketing, so there is nothing you need to opt out of. If that ever changes, we will tell you first and give you the choice to opt out.
7. Your Rights
Under Minnesota insurance law (Minn. Stat. §§ 72A.49–72A.505), you may ask to see the recorded personal information we have about you and to learn who it has been disclosed to. You may also ask us to correct, amend, or delete information you believe is wrong.
We also honor requests to delete information we are not required to keep, or to get a copy of it.

8. How We Protect It
We use reasonable administrative, technical, and physical safeguards. On this website, that includes:
- Encrypted (HTTPS) connections for every page and form
- Cutting license numbers and EINs down to the last 2 digits before they leave your browser
- Keeping uploaded files in private storage that opens only with a long random link sent to our office. The link stops working 30 days after upload, and the file is deleted from our website's storage 90 days after upload
- Sending quote requests only to our own agency mailbox
No system is perfectly secure. If a breach affects your information, we will notify you as the law requires.
9. How Long We Keep It
- Uploaded files (such as a declarations page) are deleted automatically from our website's storage 90 days after upload. The private link to the file stops working 30 days after upload.
- Quote requests stored by our website are kept for 3 years after the last time you added to them, then deleted automatically.
- Copies outside our website's storage are not deleted automatically by our website. These are the emails our agency mailbox receives (including files attached to them) and the backup copy in our website hosting provider's form system.
- Information we use to quote, write, or service a policy, for example in our agency management software or with insurance companies, is kept as long as the law or the policy requires.
- Answers you save with "Save and finish later" stay in your own browser until you send your request or clear them.
You can ask us to delete quote information we are not required to keep.
10. Children and Minors
Our website is meant for adults. When a quote involves a minor, such as a teen driver or operator in your household, we collect that person's information only from the parent, guardian, or adult applicant.
